Customer quotes

Filo turns a customer’s formula, recipe or BOM into a priced estimate.

Upload the formula, recipe or BOM. Filo matches every ingredient to your materials, checks each price, gets fresh prices for anything out of date, and builds the estimate at every quantity your customer asked for.

The price Filo built for the Summit multivitamin: $4.12 per bottle at 5,000 bottles, from $2.41 of materials, $0.68 of conversion and a 25% margin.

Step 1

Filo reads formulas, recipes and BOMs in any format.

Customers send formulas, recipes and BOMs as PDFs, spreadsheets, Word documents and photos. Filo reads each one into a costing: every ingredient and component, matched to a material you already buy, with the amount per unit converted into the unit your suppliers quote in.

If a line is unclear, Filo asks. When a formula says “Vit C, 150 mg”, Filo matches it to ascorbic acid USP and asks whether the customer wants a buffered form.

Three files a customer might send: a supplement formula as a PDF, a pet treat recipe as a spreadsheet, and a lotion bill of materials as a Word document.

The Summit multivitamin formula read into costing CST-0219: 18 lines, each with its amount per bottle and for 5,000 bottles.

Step 2

Filo checks every price before it uses it.

Each line is checked against the price list you already keep, in Google Sheets, in Fiddle or in Filo. A recent price is used as it is. A price older than your cutoff is marked out of date, and a material with no price is marked missing. Filo never guesses a price.

The cutoff is 60 days unless you change it. A shop that buys on annual contracts can set a year.

The costing checked against the shop’s prices: ascorbic acid and zinc citrate are stale at 140 and 152 days, the bottle and cap have no price, the rest are current.

Step 3

Out-of-date prices go to suppliers for you to send.

For every out-of-date or missing line, Filo drafts a price request to the suppliers who carry it, from your own Gmail, at the quantities the estimate needs. You send them. As the quotes come back, Filo adds them to the costing.

Step 4

Your margin, your conversion costs, every quantity.

With every line priced, Filo builds a column for each quantity your customer asked for. It adds your conversion costs for each step, applies your margin, and shows the price per unit, the job’s revenue and its profit. Your margin and conversion rates are settings you set once, and you can change them on any costing.

The cost sheet at 5,000 and 25,000 bottles: materials $2.41 and $2.08, cost $3.09 and $2.67, 25% margin, price $4.12 and $3.56 a bottle.

Step 5

A clean estimate PDF your customer can approve.

The estimate shows what your customer needs to decide: the price per unit and the total at each quantity, the lead time, and what is included. It never shows your BOM or your suppliers’ names. It carries your logo, a number, a date and how long the price holds.

The sheet collapsed to estimate EST-1004: $4.12 a bottle at 5,000, $3.56 at 25,000, with totals and lead times.

Ask what-if questions in plain English.

Ask what happens with a different bottle, a cheaper material, a lower margin or another quantity. Filo reprices the costing with the change, tells you what moved, and adds it to the estimate if you want it. The original stays on the costing.

A chat with Filo: asked what happens with a 100 cc bottle and 60 count, Filo says materials drop to $1.71 a bottle at 5,000 and the price at 25% margin is $3.02, and offers it as a third quantity on the estimate.
