How Filo works

How Filo works.

Filo is one AI agent. You give it work in a chat, it does the work in your email and your records, and it asks you before anything leaves the building. This is what your team uses every day.

Day one

Filo learns your business before it does any work.

Connect your Gmail and press Start. Filo reads the last twelve months of your supplier email, with the quotes, price lists and orders attached, and sorts out who your suppliers are. It learns how each person on your team writes, so its drafts sound like them.

You get a Baseline report: the suppliers you buy from, every material priced and when, how fast each supplier replies and how long they really take, the prices past your cutoff, and the first things to do, already drafted.

The Baseline report for Kestrel Labs, built from twelve months of supplier email: 38 suppliers, 9 of them not in your records; 214 materials priced, 31 past your 60-day cutoff; supplier reply times and lead times; and 6 first actions drafted.

Every day

What your team uses every day.

Give Filo work in a chat.

On the web, in the desktop app or in Slack. Type a request, or drop in a file.

Ana drops a customer's BOM into the chat and asks Filo to price it at two quantities; Filo starts by checking each line against her price list.

Approve Filo’s drafts as cards.

Every email and record change waits as a card with one button. Nothing goes out without it.

An approval card in a chat: a follow-up to Apex about the bottle and cap, drafted by Filo, with buttons to send it from Ana's Gmail or edit it.

Open an app for each job.

Filo builds simple apps for work your team does by hand, on a phone, tablet or computer.

The Count app on a phone: 18 drums of magnesium citrate counted on shelf B-3 where the system says 20.

Keep your records where they live.

Filo reads and updates Google Sheets, Fiddle or its own records. Nothing is migrated.

Where records can live: Google Sheets, Fiddle or Filo, with suppliers in a Sheet, estimates in Fiddle and everything else in Filo.

Let Filo keep track while you’re away.

Filo watches for supplier replies, drafts follow-ups on the day you’d send them, and picks up exactly where it stopped after a restart.

What Filo is keeping track of while Ana is away: mail checked just now, Northstar's reply recorded, a follow-up to Apex due Friday, and a check-in on Tall Pine next week.

Filo improves through one loop: read, check, ask, learn.

  1. Read

01Filo reads every supplier email, quote, price list, formula, recipe and BOM into fields, linked to where each one came from.

  2. Check

02It checks every number twice, against the arithmetic, the units and that supplier’s history, and scores how sure it is.

  3. Ask

03Anything it isn’t sure of, and anything that would leave the building, comes to you as a card with the reason.

  4. Learn

04Your confirmations and corrections feed how Filo matches materials, when it checks with you, and how it ranks quotes.

Every turn of the loop means fewer corrections, and fewer interruptions.
